Signs it might be time to change

  • You chase your agent for updates more than they update you.
  • You can't easily see what the service charge is being spent on.
  • Repairs are reported, and then nothing is heard.
  • Quotes arrive late, or decisions are made without the board.
  • Documents like the insurance schedule or fire risk assessment are hard to get hold of.

How switching works

  1. Tell us about your building. A short call about the block, how it's run now and what needs to change.
  2. Get your proposal. The services, the handover plan and a clear annual fee, in writing.
  3. Give notice. The directors or freeholder give notice under the current management agreement. We can help with the letter.
  4. We handle the handover. We contact the outgoing agent for funds, accounts, records, contracts and open repairs.
  5. Portal access from day one. Directors and residents are set up on the Harrison Services Portal.

What we ask the outgoing agent for

  • Service charge and reserve fund balances, with bank statements
  • The current year's accounts and budget, and arrears details
  • Leaseholder contact details and lease copies
  • Insurance policy, schedule and claims history
  • Fire risk assessment, health and safety and other compliance records
  • Contractor contracts, open repairs and planned works
  • Any Section 20 consultations in progress

Who can change the managing agent?

Whoever appointed the agent, usually the RMC, the RTM company or the freeholder. If you're a leaseholder without control of the management company, you may have other options, such as Right to Manage. Read how to change managing agent.

How much notice do we need to give?

It depends on your current management agreement. Check the termination clause for the notice period and any fixed term. We can look at it with you.

What happens to the money held by the current agent?

Service charge funds, including any reserve fund, belong to the building and should be transferred to the new agent along with the accounts and records. We handle the request and follow it through.

Will residents notice the change?

They'll hear from us with an introduction, payment details and access to the portal. Day-to-day services carry on through the handover.
